Board Room Booking Terms and Conditions
Boardroom bookings include:
- Up to 10 (2 ½’ x 5’) Tables and up to 30 chairs (room set up and configuration is the responsibility of the renter)
-50' HDMI compatible TV with remote control (adapter cords, extension cords and any converter cables are Not provided with the booking)
-Complimentary Wifi (posted in the room)
-White board wall, markers and eraser
-Kuerig coffee maker 2.0 is available (pods are available for an additional per item charge)
Arrangements for outside food and beverage for your event are the responsibility of the renter and you can find a list of Chamber member companies here for all of your food and beverage needs, although using Chamber members is Not a requirement for your booking, it is encouraged.
Please allow for additional time to arrange the room to suit your meeting / event needs. If you require additional set up assistance from the Chamber staff please arrange this no later than 48 hours ahead of your arrival time for an additional $50.00 fee. Additional equipment and cords may be provided for an additional charge.
We request that our boardroom is left in the same condition as when you arrived at the start of your booking. We also request that anyone renting the boardroom sanitize the space after your booking. If you require additional clean up or sanitization please contact our office no later than 48 hrs prior to your arrival time; to arrange this for an additional $50.00 fee. The Chamber also reserves the right to charge this fee when the room requires additional sanitization or clean-up after your booking. I agree to abide by these terms and conditions.
The renter agrees that it will be solely responsible for any and all damages or losses (whether direct, indirect, general, special, consequential or otherwise) which may occur to the renter, its agents, employees, or attendees to its event or meeting, no matter how caused. All renters must carry their own insurance. The Chamber will NOT be held liable for any loss, damage or injury, howsoever, caused to the renter, its employees, agents or attendees of the event/meeting. The renter agrees to indemnify, defend and hold harmless, the Chamber and all of their employees, directors and agents against all claims, costs and charges of any kind resulting from occupancy of the space or its environment, including but not limited to, any personal injury, death, property damages or any other damages sustained by the renter, its employees, or attendees of the meeting/event. The renter is liable for any damage and replacement costs caused to the meeting room space or equipment and agrees that if such damage occurs to any surfaces, walls, equipment or other fixtures as a result of renting the space or equipment, that they agree to replace/repair the damage at the full cost quoted for repairs or replacement to the Chamber. The Chamber will inspect the room after each booking and will have the room sanitized after each booking I acknowledge, as a renter, that it is my responsibility to adhere to all laws, bylaws, ordinances, public health order or regulations of any government or regulatory body. I agree to abide by these terms and conditions.
